Here’s everything you need to know about managing your team with roles and permissions in your Epidemic Sound enterprise workspace.
Roles and permissions are designed to give you full control over your enterprise workspace. By assigning a role and adding feature access to each user, you can manage who has access to specific features and content.
This ensures that your team members, external collaborators, and clients have an experience that is perfectly tailored to their needs, while keeping your workspace secure and organized.

The user roles
Admin
For workspace managers. Admins have the highest level of access. They can manage users, safelisting and configure workspace settings and have full access to all features. This role is typically for team leads or account owners.
Member
For your core team. Members are internal users who need full access to the platform's creative tools. They can search, download music, and use AI features to find and create the perfect soundtrack.
Guest
For external collaborators. Perfect for freelancers, agency partners, or influencers who need temporary access. Guests have similar permissions to Members, but their access is time-limited. You can set an expiration date to automatically manage their tenure.
Listener
For stakeholders and reviewers. Ideal for clients or executives who need to listen to and review music but don't need full creation or download capabilities. They can search, play tracks, and create playlists for feedback.
How to manage user roles and accesses
As an Admin, you can easily manage your team from the Organization page in your workspace.
Inviting a new user
- Navigate to Organization > People
- Click the "Invite user" button
- Enter the user's email address
- Select a role from the dropdown menu (Admin, Member, Guest, or Listener)
- If you select Guest, you will be prompted to set an expiration date for their access
- Click "Send invite". The user will receive an email to join your workspace
Changing an existing user's role and access
- Navigate to Organization > People
- Find the user in the list whose role you want to change
- Click the three dots (...) next to their name and select "Edit role"
- Choose a new role from the options provided. The change will take effect immediately.
There are two statuses in the people page, accepted and pending.
Accepted: once the member has accepted the invitation
Pending: invitation not accepted by member
FAQ
Do all roles count towards my paid seat limit?
Roles may be included in your plan differently, please refer to your agreement or Customer Success Manager for more information.
What happens when a Guest's access expires?
When a Guest's access period ends, their account is automatically deactivated within your enterprise workspace. They will lose access to your content and features and they automatically get their own free limited account.
Can I extend a Guest's access?
Yes. As an Admin, you can edit any Guest's profile and set a new expiration date at any time before their access ends.
How can I see a list of all users and their assigned roles?
The People tab in your workspace organization settings provides a complete list of all active and invited users, along with their current roles and expiration dates.
Who can invite users to an enterprise workspace?
Only admins can invite and manage workspace members for now.
